Welcome to www.RECFEvents.org! Going forward, RECFEvents.org will serve as the official team and event registration platform for all RECF programs.
Overview
Registration works in stages. Users create organizations which are designated with a unique base number. Different teams within that base number are designated with letters. For example, “Organization 1234” could have team 1234A, 1234B, 1234C, etc. Note: For RECF Inspire (our college/university robotics program), organizations are designated with letters and can add numbers to designate different teams within their organization.
Event partners (EPs) will also use this platform to create and post events that teams will then be able to register for.
Once a user has created an account, most actions will take place through the user’s Dashboard, located in the top left corner of the web page. This is where a coach or administrator will manage organizations and teams, and where EPs will manage events.
Creating an Account
Step 1: Go to www.recfevents.org, and click the “sign in” button.
Add an email address and the system will tell you if you already have an account or not. If you are told you do not already have an account, but you believe you do, please contact your RECF Regional Support Manager (RSM).
If you have an account, the system will prompt you to log in using your RECF sign in, which is good for all RECF sites.
If you don’t have a previous email address recorded in the new RECFevents system you will be prompted to create a new account.
Step 2: Create an account using the email address you wish to use. If you would like to claim an organizational base number that your organization used last season, you must use the same email that is associated with that organization base number.
You will also be asked to provide a password.
Step 3: You will receive an email verification to the email address used to create your account. Verify this email address by clicking the link in the email sent to your address. If you do not see the verification email, please check your spam folder or contact your IT department first. If you still don’t receive an email, please contact your RECF RSM.
Claiming a Returning Organization
Step 1: Log in and click “Dashboard” in the upper left part of the page, then click the button that reads “Register/Manage Organization and Teams.”
Step 2: If the email used for creating your new account matches the email used as the primary coach contact (or administrative contact in some cases) for an organization registered with RECF last season, you will see your past organization number(s) appear in a list after clicking the button. Click the blue “Claim” button on the right and follow the instructions to set up teams using the organization number you have just claimed.
Note: If you do not see the team number(s) you expect in the list, first check that you are using the same email address that was used for the organization last season. If the email address is the same, then it is possible that another user associated with that organization has claimed the number. Please reach out to other primary coach contacts or administrators of that number to coordinate which of you will claim the number. Only one user can claim an organization number; please communicate with the other coaches and administrators for your organization to ensure a smooth transition. You can also contact your RECF RSM who can work with you to transition the number.
Registering a New Organization
Step 1: Log in and click “Dashboard” in the upper left part of the page, then click the button that reads “Set Up Your Account”. Start by setting up your billing profile. Then click “Save & Continue”.
Step 2: Now you’ll be assigned an organization number. If you are a college team add the check mark, otherwise click the “Create Number and Continue” button. You will be assigned a random number or series of letters depending on your program.
Step 3: The next screen will ask you to choose a program for your organization, and you will be asked to provide some organization information. After doing this, click to continue.
Step 4: Next it is time you create your teams. Fill out the first team name, then use the drop down menus to choose the letter you want for your team, grade level, and payment type. Note that your team number when used at a tournament will not include the program name, this is just for clarity in the system. Click “Add team” to create the team when you are finished. If you have multiple teams you can add them all now by choosing “Add team” again.
If you need to add a different program, you can also quickly get to that screen by clicking “Add another program”.
Step 5: If you are ready to move on, you can finish by clicking “Done - Pay All Fees” or continue working in the system and pay later.
Managing Your Organization
You can always make changes or add teams to your organizations by clicking on the button named “My Organizations”. When you open that screen you will see a list of your programs and organization numbers. If you need to add a different program with a different organization number, click the “Create” button below the existing list of organizations. If you want to add a team to your organization, or view your teams, follow the steps below.
Step 1: Log in and click “Dashboard” in the upper left part of the page, then click the button that reads “My Organizations”, then on the button that says “Manage Programs”.
Step 2: You can have more than one program under the same organization number. For example, your RECF robotics teams and your drones teams can use the same organization number. You can add another program by filling out the information and clicking the great button with “Create Program”.
Step 3: If you want to add teams to your organization number, or want to view your teams, click the blue “Manage Teams” button.
Step 4: If you want to add teams to your organization number, click the blue “Manage Teams” button to register a team.
Step 5: If you are registering more than one team, you can continue to add them on this screen.
Organization Fees
You can manage your organization fees by clicking on the “Organization Fees” button. Please find more information about that in the library article “Paying your Organization Fees in RECFevents.org".
Becoming an Event Partner and Creating Events
Step 1: If you are or wish to become an event partner (EP), please go to your Dashboard and click on the blue button labeled "Request EP Status" inside the button Event Partner Status to alert the RECF that your account needs to have EP status added.
Step 2: Step 2. Once your RSM has approved your event partner status, the blue button will instead say “Create an Event”.
Step 3: Clicking on “Create an Event” will open an event creation wizard. Please fill out information for the various steps that appear. You can stop at any time, and anything you have filled out will be saved. Note: all events require RECF RSM approval before they will be visible to the general public. Please let your RSM know when your event is ready for approval.
