Welcome to www.RECFEvents.org! Going forward, RECFEvents.org will serve as the official team and event registration platform for all RECF programs.
Overview
Registration works in stages. Users create organizations which are designated with a unique base number. Different teams within that base number are designated with letters. For example, “Organization 1234” could have team 1234A, 1234B, 1234C, etc. Note: For RECF Inspire (our college/university robotics program), organizations are designated with letters and can add numbers to designate different teams within their organization.
Event partners (EPs) will also use this platform to create and post events that teams will then be able to register for.
Once a user has created an account, most actions will take place through the user’s Dashboard, located in the top left corner of the web page. This is where a coach or administrator will manage organizations and teams, and where EPs will manage events.
Your RECF End Users Account
If you already have already created an RECF End Users account, skip to step 3 of this section.
Step 1: Create an RECF End Users Account
- Go to www.recfevents.org, and click the “Register Now” button.
- You will be prompted to create an RECF End Users account. This account will be used as your login across all RECF services.
- Type in the email address that you wish to use as your login. This is the email address where all of your account-related communications will be sent. If you would like to claim an organizational base number that your organization used last season, you must use the same email that is associated with that organization base number.
Step 2: Verify your Account
- Check your email for an account verification code
- Enter this code into the prompt window, and click "Next"
- If you do not see the verification email, please check your spam folder or contact your IT department first. If you still don’t receive an email, please contact your RECF RSM.
Step 3: Log In
- If you have an RECF End Users Account, the system will prompt you to log in using your RECF sign in, which is good for all RECF sites.
- If you receive an error logging in, it's likely that you don’t have a previous email address recorded in the new RECFevents system and you will be prompted to create a new account (follow steps one and two above).
RECF Organizational Policy
The RECF Organizational Policy helps coaches determine how many teams they need to establish, and clarifies program levels, organization types, and team contact definitions. Before registering a new or returning organization, please review this policy and be sure to contact your RECF RSM with any questions.
A new organization is formed when a school is participating in an RECF program for the very first time, or to add a new organization once they have established more than 22 teams in a single organization. Organization numbers and team history and are retained by the RECF, even if a team goes dormant for a period of time, so if you believe that your organization may have existed previously under a different coach, please reach out to your RSM to work together to renew the previous team number.
If you are registering a new organization, continue following the steps below. If you're renewing a returning organization or want to add another program to an existing organization, jump down to the section titled "Returning Organization".
Registering a New Organization
If you're new to the RECF, follow these steps to create your organization.
Step 1: Billing Profile
- Click “Set Up Your Account”.
- Enter billing profile information
- Click “Save & Continue”.
Step 2: Organization
- Your organization number will be your base team number, and what your teams will be referenced by in the community. You will be assigned a random number or series of letters depending on your program.
- If you are a college team add the check mark,
- If your organization has an affiliation (such as JROTC or Unified), select it from the dropdown. Otherwise, leave the dropdown menu set to "none"
- Click the “Create Number and Continue” button.
Step 3: Program
The next screen will ask you to choose a program for your organization. If you are unsure what to select, read the RECF Library article titled, "Which RECF Competition Do I Choose?" and reach out to your RSM with any questions.
- Select your Program Type from the dropdown menu, paying close attention to the names and age range of for each program
- Enter your Organization/School name. If you are a US-based school team, please enter the name of your school exactly as it's listed with the National Center for Education Statistics (NCES)
- Select your Organization Type from the dropdown menu. If you're unsure how to classify your team type, please review section 6 of the RECF Organizational Policy for clarification, and reach out to your RSM with any questions.
- Complete your City, State/Provence (include the full spelling, no abbreviations) and Postal Code information
Step 4: Team
Each organization is broken down into a maximum of 22 individual teams. To help you and the community distinguish your teams, they will each receive a unique identifying letter. NOTE: If you press "BACK" in your browser window during this process, your progress will not be saved, and your team number will not be reserved.
- Team Names are announced at competitions, and must be culturally sensitive, use appropriate language, and should be easy to pronounce. For more information on selecting a team name, read the RECF Library article titled Guidelines for Naming an RECF Competition Team.
- Team Number will indicate the organization number along with the unique identifying letter.
- Grade Level is determined by the age of the student
- Elementary school teams may only include students age 12 and under (12U),
- Middle school teams may only include students age 15 and under (15U),
- High school teams may only include students age 19 and under (19U).
- College teams require students to be graduated from secondary school and be enrolled in a post-secondary institution
- Click "Add Team"
- If you are only registering one team, click "Done - Pay All Fees". If you would like to register more than one team. click "Add Another Program" and complete the information as many times as needed.
Step 5: Season Fee
- If you would like to to pay all your teams' season fees together in one payment by credit card, check, or ACH, use the dropdown menu to select your payment type, and then click the "Pay All Season Fees Together" button to continue.
- If you're unsure how you will pay or if you would like to submit payment at a different time, click "Finish and go to Dashboard" button. Your team will not be considered fully registered and paid until you submit payment. You may click the "Organization Fees" button in your dashboard to select payment type and check out.
Returning Organizations
Step 1: Organization Number
Follow these steps if you have not claimed your organization number in the new RECF Events management system for this season. If you've already claimed your organization, skip to the section titled "Managing Your Organization".
- Go to www.recfevents.org, and log into your dashboard using your RECF End Users account. If you do not have an RECF End Users account, scroll up to the top of this article and begin at step one of the section titled "Your RECF End Users Account"
- Click on the button titled "Claimable Organization Numbers"
- If the email used for creating your new account matches the email used as the primary coach contact (or administrative contact in some cases) for an organization registered with RECF last season, you will see your past organization number(s) appear in a list after clicking the button.
Step 2: Claim your Organization Number
- Click the “Claim” button on the right and follow the instructions to set up teams using the organization number you have just claimed.
- Note: If you do not see the team number(s) you expect in the list, first check that you are using the same email address that was used for the organization last season.
- If the email address is the same, then it is possible that another user associated with that organization has claimed the number. Please reach out to other primary coach contacts or administrators of that number to coordinate which of you will claim the number. Only one user can claim an organization number; please communicate with the other coaches and administrators for your organization to ensure a smooth transition.
- After communicating with other users who may have logged into your organization's account, please contact your RECF RSM for assistance.
Managing Your Organization
You can always make changes or add teams to your organizations by clicking on the button named “My Organizations”. When you open that screen you will see a list of your programs and organization numbers. If you need to add a different program with a different organization number, click the “Create” button below the existing list of organizations. If you want to add a team to your organization, or view your teams, follow the steps below.
Step 1: Log in and click “Dashboard” in the upper left part of the page, then click the button that reads “My Organizations”, then on the button that says “Manage Programs”.
Step 2: You can have more than one program under the same organization number. For example, your RECF robotics teams and your drones teams can use the same organization number. You can add another program by filling out the information and clicking the great button with “Create Program”.
Step 3: If you want to add teams to your organization number, or want to view your teams, click the blue “Manage Teams” button.
Step 4: If you want to add teams to your organization number, click the blue “Manage Teams” button to register a team.
Step 5: If you are registering more than one team, you can continue to add them on this screen.
Organization Fees
- You can manage your organization fees by clicking on the “Organization Fees” button.
